File IRS Forms W-2 and W-2C online

Avalara 1099 & W-9 supports the e-filing and e-delivery of many IRS form types, including Form W-2 for wage and salary income and Form W-2C for corrections.

What is Form W-2 and when is it required?

Form W-2 reports to the Social Security Administration (SSA) wages, tips, and other compensation paid to an employee as well as the taxes withheld from those earnings. Form W-2C is used to correct any information that was reported incorrectly on the original W-2 form.

Employers in the United States must file a W-2 with the SSA for employees they pay a salary, wage, or other compensation. Employers must file a corresponding W-2C whenever an error is discovered on a previously filed W-2 form, regardless of the tax year.

Can I file Form W-2 and W-2C online?

Yes. You can e-file Form W-2 and W-2C through the IRS website or by mail. You may also use Avalara 1099 & W-9 to streamline the e-filing process and help prevent costly errors.

What are the IRS deadlines for filing Form W-2?

  • Send copies to recipients by January 31.
  • E-file with the IRS by January 31.

When this date falls on a weekend or holiday, the deadline shifts to the next business day.

Can employers file a W-2C to amend mistakes in a W-2 from many years ago, and if so, what are the limitations?

Yes. If a mistake is found in a W-2 form from a previous year, you can still file a W-2C form to correct the error, regardless of how much time has passed. There’s no statute of limitations on filing a W-2C. It’s important to correct any errors to ensure that both the Social Security Administration (SSA) and the IRS have accurate records for the individual’s earnings history, which can affect social security benefits and tax obligations.
